This Privacy Policy explains how Clemente Suardi (“I”, “me”, “my”) collects, uses and protects the personal data you share through italianancestor.com, in accordance with the EU General Data Protection Regulation (GDPR, Regulation (EU) 2016/679).
Who is responsible for your data
The data controller is Clemente Suardi, professional genealogist and member of the Association of Professional Genealogists (APG). For any question about your data or this policy, you can contact me at info@italianancestor.com.
What data I collect
Through the contact form on this site I collect only the information you choose to provide: your name, your email address, and the details you enter about your family history and research goals. To protect the form from spam I use Cloudflare Turnstile, which may process limited technical data (such as your IP address) to confirm that you are not an automated bot.
Why I use it, and on what legal basis
I use your information only to read your request, reply to you, and discuss how I may help with your genealogical research, Italian citizenship documentation or record retrieval. The legal bases are your consent, which you give by ticking the consent box on the form (Art. 6(1)(a) GDPR), and any steps taken at your request before a possible engagement (Art. 6(1)(b) GDPR). I do not use your data for marketing, and I never sell it or share it with third parties for their own purposes.
Who processes your data
Your message is stored on this website, which is hosted in Italy by Aruba S.p.A., and reaches me through my email provider. The anti-spam verification is provided by Cloudflare. These providers act as data processors and handle your data only on my behalf, to keep the website and my communications working.
How long I keep it
I keep your message and contact details for as long as I need them to handle your inquiry and any project that follows, and afterwards only for as long as necessary for legitimate legal or administrative reasons. You can ask me to delete your data at any time.
Documents you send for transcription or translation
If you use the document transcription and translation service, you can upload records — such as birth, marriage or death acts, parish pages or ship manifests — through the form on that page. These files may contain personal data about you and about other people named in them, including ancestors and living relatives, and I treat them with particular care. Only image and document files are accepted; other file types are refused.
Your file is transmitted over the site’s secure (HTTPS) connection and arrives privately in my inbox at info@italianancestor.com. I use it only to carry out the transcription, translation or research you have requested — on the basis of your consent, which you give when you submit the form and can withdraw at any time. I never publish your documents or share them with anyone without your consent, except where, on your behalf, I need to contact a public archive, a comune or a parish to obtain or confirm a record.
I keep your documents only as long as needed to complete your project and to keep a reasonable record of the work done. You can ask me to delete them as soon as the work is finished, and I will do so.
Your rights
Under the GDPR you have the right to access, correct, update or delete your personal data, to withdraw your consent at any time, to object to or restrict processing, and to request data portability. To exercise any of these rights, simply write to me at info@italianancestor.com. You also have the right to lodge a complaint with your data protection authority — in Italy, the Garante per la protezione dei dati personali (garanteprivacy.it).
Cookies
This site uses only the essential and functional cookies required for it to work correctly and to protect the contact form from spam. It does not use advertising or third-party tracking cookies.
Changes to this policy
I may update this Privacy Policy from time to time. The current version is always the one published on this page.
Last updated: July 2026.
